Privacy policy

This notice describes how the personal data of visitors to this website and of patients contacting the practice are processed, pursuant to Regulation (EU) 2016/679 (“GDPR”).

Data controller

The data controller is Studio Associato COBE Dental, Via Bazzanese 32/4, 40033 Casalecchio di Reno (BO), Italy. For any request regarding your data you can write to info@cobe.dental.

What data we process and why

  • Contact data sent through the form (name, email address, phone number, message content): we use them exclusively to answer your request and to manage appointments. The legal basis is the performance of pre-contractual measures taken at your request.
  • Health data: please do not include them in the contact form. They are processed exclusively in the course of care, following a dedicated notice and your explicit consent, as provided by Article 9 of the GDPR.

Chat with a virtual assistant (AI)

This website offers an AI-based chat that helps you book an appointment and answers questions about treatments, opening hours and how to reach us. The controller of the data you provide in the chat is the controller named above.

  • Technology provider: the chat is delivered by the Busy Guide service, which processes data only on our instructions as a data processor. It uses infrastructure in the European Union: Google Cloud (hosting, Vertex AI language model, speech recognition and synthesis) and a database and task queue in an EU region. The content of conversations is not transferred outside the European Economic Area.
  • Data processed: the content of the conversation and the data you provide in it (name, telephone number, email address, preferred appointment date), plus technical data: IP address, session identifier and time of the conversation. If you send a voice message, the audio recording is also processed for speech recognition.
  • Purposes: handling your request, booking or changing an appointment and calling you back, sending the practice a summary of the conversation and analysing the quality of the assistant (statistics, identifying gaps in its information).
  • Legal basis: Art. 6(1)(a) GDPR (consent), Art. 6(1)(b) (pre-contractual steps, namely booking a visit) and Art. 6(1)(f) (the controller’s legitimate interest in the analysis and security of the service).
  • Retention: the conversation transcript is kept for 90 days and then deleted automatically. Appointment data follow the statutory periods for healthcare records.
  • Automated decisions: the assistant supports booking but takes no solely automated decisions within the meaning of Art. 22 GDPR: every request is checked and confirmed by the practice’s staff. The assistant gives no medical advice or diagnoses, and its answers are for information only. Conversations are not used for marketing profiling or to train public or third-party AI models.
  • Abuse protection: the chat uses Google reCAPTCHA, which processes your IP address and technical browser data to tell people from automated systems.

The connection to the chat is encrypted (TLS). Providing data in the chat is optional, but necessary to book an appointment or receive an answer to your request. You may withdraw your consent at any time by writing to info@cobe.dental.

Data retention

Data sent through the contact form are kept for the time needed to handle the request and any resulting appointments, and in any case no longer than the terms provided by law. Patients’ clinical records are kept in accordance with the legal obligations applicable to healthcare providers.

Data sharing

Your data are neither published nor sold to third parties for marketing purposes. They may be accessed only by the practice’s authorised team and by technical providers of instrumental services (such as hosting and email), appointed as data processors where required.

Your rights

At any time you may exercise the rights provided by Articles 15–22 of the GDPR: access, rectification, erasure, restriction of processing, objection and portability. You may also lodge a complaint with the Italian Data Protection Authority (Garante). To exercise your rights, write to info@cobe.dental.

Cookies and analytics

This website uses technical cookies, necessary for its operation, which do not require consent. Only with your express consent given through the banner does the site also activate Google Analytics 4 for anonymous traffic measurement (Consent Mode): without your consent, no measurement cookies are set. You can change your choice at any time via the “Cookie preferences” link at the bottom of the page.
